Quotes are useful when the customer needs to review or accept pricing before you invoice. Keep quote creation, sending, acceptance tracking, and invoice conversion separate.

What this guide helps you do

  • Create a quote with clear line items and terms.
  • Send the quote only after customer-facing details are reviewed.
  • Use AI to draft quote structure without bypassing approval.

Before you start

  • Know the customer, offer, price, expiration date, and terms.
  • Decide whether the quote needs internal approval before sending.
  • Confirm whether the quote should later convert into an invoice.

Do it manually

  1. Open Money and choose Get Paid.
  2. Change the document filter to Quotes or create a new quote if available from New invoice options.
  3. Choose the customer and add line items, terms, and expiration details.
  4. Save the quote as a draft.
  5. Review the quote drawer and send when ready.
  6. Track acceptance before converting the quote to an invoice.

Ask Faster AI

  • Draft a quote for this customer based on the discovery call notes. Keep it as a draft for review.
  • Create a quote outline with good, better, best options, but do not send it.
  • Review this quote for unclear terms before I send it to the customer.

Review before saving, sending, paying, or refunding

  • Check scope, price, expiration, payment terms, and customer name.
  • Do not promise services, discounts, or timelines that are not approved.
  • Keep internal negotiation notes out of customer-facing quote fields.

Common issues and fixes

  • If the customer wants changes, revise the quote before sending a new version.
  • If the quote is accepted, convert it to an invoice instead of recreating from memory.
  • If the quote should not proceed, mark it according to your team policy and add a note.
