Invoice status combines workflow state and payment state. Review both before deciding whether to send, remind, collect, refund, or close an invoice.
What this guide helps you do
- Understand what happened to an invoice after it was created.
- Find payment applications, credits, refunds, and balance due.
- Use status to choose the next customer-safe action.
Before you start
- Open the exact invoice from Money, not only a dashboard total.
- Know whether you are checking workflow status, payment status, or both.
- Refresh if another teammate just made a payment or refund change.
Do it manually
- Open Money and choose Get Paid.
- Filter to Invoices or search for the invoice number.
- Open the invoice drawer.
- Review workflow status, payment status, due date, and balance.
- Check related payments, credit applications, refunds, and activity.
- Choose the next action: send, remind, record payment, apply credit, refund, void, or wait.
Ask Faster AI
- Summarize the status of this invoice and tell me what changed most recently.
- Find unpaid invoices due this week and suggest a review order before I send reminders.
- Explain why this invoice is partial and what payment or credit is still missing.
Review before saving, sending, paying, or refunding
- Check status and balance before contacting a customer.
- Avoid sending reminders for invoices that are paid, voided, disputed, or being handled manually.
- Confirm whether a status change should also create a Customer 360 task or note.
Common issues and fixes
- If an invoice looks unpaid after payment, check payment applications and refresh.
- If an invoice should not be collected, void or cancel according to your billing policy.
- If status is confusing, ask AI for a summary but verify it in the drawer.
Placeholder media
- Screenshot placeholder: add an annotated screenshot of track invoice status with customer names, amounts, account details, and private notes blurred.
- Video placeholder: add a short walkthrough that starts from the Money workspace, shows the manual path, then shows the review step before anything is sent, paid, refunded, or published.
Related help
Use it in daily operations
- Before closing the task, review the related Money record, customer record, owner, due date, and any follow-up message that should happen next.
- If the workflow affects a real payment, keep the action in review until the amount, recipient, invoice, quote, or bill details are confirmed.
- Use Faster AI to summarize the payment context and prepare a checklist, but approve sends, refunds, bill payments, and customer-facing messages manually.
