Assignments and handoffs make workflows operational. Use them when a person, team, or role needs to complete a task, approve a step, review a customer issue, or continue work from another area.

What this guide helps you do

  • Assign task steps to the right teammate or group.
  • Use handoff notes so the next person has enough context.
  • Track ownership and due dates without relying on chat messages alone.

Before you start

  • Know who owns each step and who should be notified.
  • Define what done means for the task.
  • Collect the context the assignee needs, such as customer, form, document, opportunity, or campaign details.

Do it manually

  1. Open the workflow or customer/work item that needs a handoff.
  2. Add or open a task step.
  3. Set the assignee, due date, priority, and task instructions.
  4. Attach or reference the relevant customer, form response, document, page, post, or opportunity.
  5. Save the workflow or task.
  6. Review open tasks from workflow views or the relevant workspace area.

Ask Faster AI

  • Turn these customer follow-up notes into assigned tasks with owners and due dates. Show me the task list first.
  • Create a handoff summary for the teammate taking over this workflow run.
  • Find stale workflow tasks and suggest which owner should review each one.

Review before saving, sending, or publishing

  • Confirm the assignee has permission to view the underlying customer or workflow data.
  • Make task instructions specific enough that the assignee can act without asking for missing context.
  • Do not include private notes in a customer-facing task or document.

Common issues and fixes

  • If work is not moving, check assignee, due date, notifications, and view filters.
  • If a handoff lacks context, add a note linking the source record or draft.
  • If too many tasks are assigned to one person, split ownership by workflow step or group.

  • Video placeholder: add a short walkthrough that starts from Workspace, shows the manual path, then shows how to ask Faster AI and review the result before saving, publishing, sending, or applying work.
